What Is Governed AI? A Finance Team's Definition

Most finance software vendors say “governed AI” right now. Few of them define it. That's a problem, because the term is doing work it hasn't earned yet.

Here's a plain-language definition, and the four things that have to be true for it to hold up.

The term everyone uses and no one defines

“Governed” can sound like a safety feature bolted onto an AI tool after the fact. Governance comes first. It's the set of limits that has to exist before AI gets anywhere near financial data at all.

What governed has to mean

Four things, and each one has to hold on its own.

What it can access

Finance decides which reports and which numbers are in scope. Everything else stays out until Finance adds it.

Where its answers come from

An answer sourced from a report Finance approved last week is a different thing from an answer sourced from a model's general training data. Only one of those is defensible in a board meeting.

Who can ask what

A cost center owner and a board member need different sets of answers. Governed AI respects the same permissions your reports already do.

Whether there's a record

Every request is logged, with who made it and what came back. The point is evidence: when an auditor asks how a number was produced, the log answers.

Leave out any one of these four, and what's left is a fast, confident-sounding tool with no way to check its work.

Capability is a separate question

A smarter model or a bigger context window answers a capability question. Governance is a control question, and it comes first. A more capable AI with no governance is a bigger version of the problem Finance already has.

Why this matters more than the AI itself

Nobody asks how a calculator got an answer. Everybody asks how AI got one, and that's the correct instinct. The moment AI touches a number that ends up in a report, that number needs a source Finance can point to. Governance is what makes that possible. Without it, every AI answer is a claim with nothing behind it.

Business AI that Finance controls

That's the whole model. AI does the answering, and Finance decides what it's allowed to see. Governance is the floor that capability stands on.
